Academic Assistant (#1430989)
Broad Scope of Position
The Academic Assistant, under the supervision of the Academic Dean, assists the Dean in scheduling, teacher-dean communications, reports, data analysis, data manipulation in Excel, and internal school testing. Duties may occasionally fall outside the scope of the previous specified duties as needed.
Job Duties: • Assists Academic Dean in scheduling • Schedules and manages logistics for student surveys • Schedules and manages logistics for parent-teacher conferences • Communicates messages from the Dean to teachers about grade book, grade deadlines, and other Important dates • Manages and uploads data to Alpine Education • Identifies and defines data variables based on Dean’s request to create Ad Hoc data reports from Infinite Campus • Manipulates data in Microsoft Excel to assist the Dean in creating visually consumable data for stakeholders • Proctors internal tests and surveys such as NWEA MAPS, Accuplacer, Gallup Poll Climate Survey, and EdReady • Prepares computers for testing days • Helps create training visuals to guide teachers in proctoring tests, surveys, and grade book set-up • Works with the Dean on keeping the course grid up-to-date • Builds course sections and assigns instructors to courses in Infinite Campus (based on course grid) • Creates an at-a-glance schedule for the upcoming semester for the advising team • Serves as a resource for teachers with programs such as Infinite Campus, MAPS, EdReady, and Accuplacer • Tracks textbook needs and numbers via communication with teachers and the Business Manager • Other duties as assigned by Academic Dean and leadership team
Job Specifications: a. Decision-Making: Analyze situations accurately and exercise good judgment in taking effective action. Learn specific rules, regulations, laws, and policies and apply them with good judgment in a variety of matters. Use good judgment while recognizing the scope of authority.
b. Types of Contacts: Works closely with the Academic Dean, as well as the school leadership team, admin employees, and teachers.
c. Knowledge/Abilities/Skills: Attention to detail and an eye for systems organization is essential. Ability to work on a team and collaborate. d. Communication Skills: Strong interpersonal skills and the ability to build rapport with colleagues.
e. Computer Skills: Proficient in intermediate computer skills. Proficient in Microsoft Office Suite, particularly Excel. Ability to manipulate data within Excel is preferred. The ability to be a self-starter and to learn new programs is required.
