Broad Scope of Position: Provides office services by implementing administrative systems, procedures, and policies, and monitoring admissions projects.
Major Duties and Responsibilities:
• Assist in Human Resources process paperwork when new employees are hired and coordinate with the Director of Human Relations. • Assist in fire drills, lockdowns, shelter in place and drug dog searches. Monitors and records staff and student responses. Performs student searches of backpacks and cars as needed. • Performs office tasks such as: creating spreadsheets, preparing mail-outs, etc. • Compiles on-line data, creating and organizing files and folders. • Communicates with the nurse regarding student illnesses and doctor’s notes, etc. • Obtains and processes Human Resources data and maintain employee records. • Assists Dean of Admissions with in-service preparations, staff meetings, and school events. • Assists with organizational tasks as assigned by Dean of Admissions • Track CSI submission and testing timelines. • Works with the Dean of Admissions to ensure all phone calls and emails are addressed within 24 hours. • Supports the Dean of Admissions updating policies and procedures for staff and department manuals, as indicated by the leadership team. • Maintains room reservations of computer labs and multi-purpose rooms. • Schedules appointments for the Dean of Admissions and as needed. • Managing calendars; making travel, meeting and event arrangements; preparing reports. • Fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. • Performs a variety of Internet research functions and uses word processing, spreadsheet, and presentation software. • Assist with overflow work from Leadership Team and fill in for the office receptionist as needed. • Bilingual translator. May be called upon to translate for advisors, admissions, nurses, learning specialist, discipline and/or attendance issues. • Answers all emails and phone calls concerning student absences daily. • Issues student parking permits. • Admits, records, and monitors visitors to the school. • Receives all main line phone calls and transfers. • Substitutes for school nurse when she is not in the building, or not available. May include treating minor health issues, or initiating emergency services. • Communicates with nurse regarding student illnesses and doctor’s notes, etc. • Collects Lost and Found items, stores them and then donates non claimed item each semester. • Performs other duties as delegated. • Participates in in-services, workshops and attends all required meetings. • Other duties as assigned.
