Position Description
The Link Community Charter School School Secretary serves a deeply valued role, providing first contact to visitors and callers to the school, creating a welcoming, positive, respectful and joyful demeanor that supports the school’s culture and Core Values.  Performing various tasks, the School Secretaries maintain the smooth operation of the main office, servicing all stakeholders.
Specific Responsibilities

  • Coordinate the daily operations of the main office, answering calls, greeting visitors, assisting staff with printing and supply requests, and sorting mail.
  • Maintain a neat and welcoming space in the main office.
  • Address student and parent/guardian concerns and direct those needing additional assistance to the appropriate administrator or staff member.
  • Schedule appointments and provide clerical assistance to administrative team upon request.
  • Prepare communications home, including weekly purple family communications envelopes, as directed.
  • Manage student enrollment using PowerSchool and coordinate with student home districts.
  • Manage and complete all necessary compliance reporting to the Local, State, and Federal Government including but not limited to; attendance and transportation.
  • Manage and distribute bus tickets throughout the school year.
  • Act as a liaison between administration and the school community.
  • Manage all school supply purchases, distribution and inventory.
  • Support student life events such as dances, drama productions, family celebrations and school trips.
  • Monitor daily attendance and update daily the bulletin board with attendance information.  Support school wide attendance and timeliness goals in communications with students and families.
  • Record and properly store any monies paid by students and families.  Reconcile all receipts and transfer funds to the Finance/Operations Office daily.
  • Ensure confidentiality and security of office space, files, and all information pertaining to students, parents and staff.
  • Coordinate service for copiers and printers. Monitor, troubleshoot and make basic corrections to copiers in the main office.
  • Support school instructional team by developing relationships, and being timely and responsive to their needs.
  • Attend and participate in meetings as deemed necessary and consistent with the needs of the school.
  • Support the Principal, Chief Operating Officer and Head of School.
  • Perform other duties as assigned by the Principal and/or Head of School.


  • Bachelor’s Degree preferred
  • Extensive experience with enrollment, student information systems (preferably Pearson’s Power School), state submissions and school operations
  • Strong adherence to Link’s Core Values and ethical standards
  • Exceptional work ethic, detail oriented work habits, high personal standards, on time and on-task; willingness to remain at school to complete any major projects and state submissions
  • Strong organizational and interpersonal skills, with ability to manage multiple tasks well and meet deadlines
  • The ability to communicate clearly and effectively, verbally and in writing, and empathically with children and adults
  • Demonstrated practice of maintaining confidentiality and sensitive conversations
  • The ability to set and maintain a positive tone, welcoming all stakeholders to the school, and to diffuse emotionally-charged conversations
  • Ability to work well in a team and collaborate to support various stakeholders
  • Strong technological skills, including database management and word processing. Working knowledge and application of Microsoft Word platform, especially Excel; and ability to integrate third party applications and databases
  • Demonstrated experience in providing reports and documentation accurately and in timely manner
  • Required criminal history check
  • Proof of U.S. citizenship or legal resident alien status
