The Assistant Office Manager is primarily responsible for ensuring the smooth operation of the charter school’s business office. This position certifies that the office is consistently operating well, moreover, that it is assisting parents and other staff members successfully. Furthermore, this position supports in recruiting and enrolling students. Finally, the individual in this role, assures that proper business operations of the school are being consistently followed.
Assistant Office Manager - $25,000 - $30,000
• Create and maintain a welcoming and efficient front office that emphasizes organization, professionalism, courtesy, flexibility, and teamwork. • Carry out all procedures and responsibilities in accordance with the School’s policies. • Maintain secure and accurate employee files. • Payroll: o Collect time/attendance sheets o Enter accurate payroll information into payroll software o Provide clear and concise attendance sheets, made up of accurate financial information for the Principal’s review, enabling the Principal to confidently authorize an overall approval of the payroll. • Maintain vendor and audit files. • Research and review vendor contracts and pricing. • Assist the Principal with securing substitute teachers. • Oversee the purchasing process for the school and complete purchase orders and purchases as approved by the Principal. • Upload invoices and create accurate purchase orders. • Maintain an employee database. • Enter and maintain an up-to-date student information system. • Compile and submit FLDOE state survey data. • Calculate and enter school employees paid-time-off information. • Confirm and coordinate the school’s employee background and fingerprint checks. • Provide verification of employment when requested. • Assist in the hiring of office staff. • Manage and secure the organization’s corporate documents. • Coordinate and maintain up-to-date security passcodes. • Act as emergency liaison for student/staff medical issues. • Administer medication to students authorized by the Principal. • Facilitate the consistent workflow of copies, phones, and fax machines. • Backup and support the front office staff as needed. • Facilitate student enrollments and effectively manage “waiting lists.” • Perform additional work as assigned by the Principal, the Board, and FORZA Education Management.
