PowerSchool and Enrollment Coordinator
Link’s Enrollment/PowerSchool Coordinator plays an integral role in the administration of the school and is primarily responsible for: (1) the proper enrollment of every student, (2) the integrity and smooth operation of the school’s Student Information System-PowerSchool, (3) the accurate and timely submission of data in state systems, and (4) the smooth operation of the main office.

Specific Responsibilities

(1) Enrollment
  • Support Director of Admission in establishing and following all procedures
  • Support interested families with inquiries and processing of enrollment forms
  • Verify all documentation (birth certificates, residency proofs, and transfer cards) and ensure 100% compliance with district and state requirements
  • Manage all data entry of enrollment forms
  • Support any necessary enrollment lotteries
  • Support the Director of Admissions with Registration Day
  • Enter all new students in PowerSchool and update records as necessary to maintain timely and accurate records
  • Create all new student permanent files and update as necessary to maintain complete and accurate records.
  • Request and secure all student files from sending districts.
  • Process all student withdrawals and transfer of records
  • Close out all graduate files and prepare for storage
  • Provide enrollment reports and support special reporting requests
  • Support families with transportation procedures
  • Create and submit transportation forms for all districts
  • Serve as liaison with transportation providers and districts
  • Organize transportation for special needs students
  • Prepare all mailings for recruitment 
(2)  PowerSchool
  • Work closely with and support Principal to effectively use PowerSchool in school operations and state reporting, including student demographics, placement, scheduling, attendance, etc.
  • Handle yearly processes, e.g. set up of new school year, roll over, close out school year, graduate students, register students in classes and coordinate with other staff to complete projects/work orders efficiently.
  • Provide assistance in all areas of student information, developing attendance reporting formats, grade reporting, registration and scheduling, discipline reporting, test reporting and enrolling and withdrawing of students into the software system, etc.
  • Establish protocols for data entry and system usage; and document in a user/procedures manual
  • Collect and complete the required data for the state reports; and prepare all administrative reports
  • Manage and prepare all academic reports, including progress reports, report cards, regular academic progress updates
  • Recommend system improvements
  • Ensure accuracy of data and troubleshoot problems with the database, including data validation errors
  • Maximize the value of PowerSchool software and information
  • Troubleshoot operational and software problems, determine cause of error or stoppage, apply corrective techniques or obtain support from software manufacturers 
(3) State Submissions
  • Attend all relevant trainings and maintain strong knowledge base of all state reporting requirements
  • Prepare all state submissions including CHE and NJSMART SID, SMID, HIB, Special Education and PARCC, as well as annual roster submission
  • Perform practice submissions, and maintaining up to date files to ensure accurate and timely submissions
  • Work with districts and NJDOE offices to rectify all upload/enrollment conflicts and errors. 
(4) Main Office Support
  • Welcome and assist all visitors to the main office
  • Proactively support all main office operations, including answering the phone, accepting mail and shipments, preparing bulk mailings to student families, assembling Friday Purple Folders
  • Maintain a clean, organized and welcoming environment.
  • Work in sync with School Secretary and provide backup when she is not present 
Perform other duties as assigned by the Principal and/or Head of School.


  • Bachelor’s Degree preferred
  • Extensive experience with enrollment, student information systems (preferably Pearson’s Power School), state submissions and school operations
  • Strong adherence to Link’s Core Values and ethical standards
  • Exceptional work ethic, detail oriented work habits, high personal standards, on time and on-task; willingness to remain at school to complete any major projects and state submissions
  • Strong organizational and interpersonal skills, with ability to manage multiple tasks well and meet deadlines
  • The ability to communicate clearly and effectively, verbally and in writing, and empathically with children and adults
  • Demonstrated practice of maintaining confidentiality and sensitive conversations
  • The ability to set and maintain a positive tone, welcoming all stakeholders to the school, and to diffuse emotionally-charged conversations
  • Ability to work well in a team and collaborate to support various stakeholders
  • Strong technological skills, including database management and word processing. Working knowledge and application of Microsoft Word platform, especially Excel; and ability to integrate third party applications and databases
  • Demonstrated experience in providing reports and documentation accurately and in timely manner
  • Required criminal history check
  • Proof of U.S. citizenship or legal resident alien status
