Edina Public Schools has an opening for a Department Specialist to provide clerical support for the Teaching and Learning Department. 

Position Purpose:

Under the direct supervision of the Director of Teaching and Learning, to provide a wide variety of complex and confidential administrative and secretarial support, communicating information to school district employees, students, parents, and others as required, and to assist in ensuring compliance of department/program activities with legal, administrative and District policy requirements.

Daily Schedule:
  • 8 hours/day
  • M-F position working 40 hours/week
Compensation and Benefits:
  • Paid $3,755 - $4234 per month, depending on previous experience directly related to the position

Essential Functions:
  • Assists students, employees, and visitors with inquiries, engages in general problem solving, and refers questions to the appropriate person when needed.
  • Composes documents (e.g., correspondence, bulletins, reports) for Director of Teaching and Learning or other Department staff for the purpose of requesting or providing information, confirming events, etc.
  • Prepares, copies and distributes notices, memoranda or other correspondence for the purpose of informing school employees, students, parents, and others regarding activities, events or other work-related matters.
  • Assists in coordinating Teaching and Learning Department functional responsibilities related to subject areas over which the Department has oversight.
  • Attends Teaching and Learning Department and other related meetings as assigned for the purpose of conveying and/or gathering information required to perform functions.
  • Assists in maintaining the daily/weekly/monthly calendar of the Director of Teaching and Learning for the purpose of coordinating the scheduling of work-related appointments, activities, meetings, etc.
  • Assists in planning and scheduling department events and maintaining calendar of department events
  • Assists in overseeing workload of the Director of Teaching and Learning for the purpose of maximizing efficiency and meeting operational requirements.
  • Contacts offices, departments, and agencies to coordinate and exchange information while serving as a liaison with outside organizations related to Teaching and Learning Department activities and work.
  • Maintains a proper inventory of office supplies and equipment.
  • Supports the hiring process, including the posting of job vacancies, distribution of applications, scheduling interviews, etc.
  • Maintains personnel records and files as required, including re-licensure records.
  • Assists in maintaining documents, files, and records for the purpose of providing up-to-date reference and audit trail for compliance.
  • Assists in the management of departmental budgets.
  • Answers telephone calls and provides information and assistance to callers.

Required Qualifications:
Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying.  Typical qualifications would be equivalent to:
  • High School Degree or equivalent.
  • One year of job related training after high school diploma has been received.
