Part-time Parent Resource Center Secretary (#325091)
The secretary provides secretarial/receptionist support in an office environment. The secretary may serve as the personal secretary to an administrator to assist in the implementation of the details and duties designed to carryout the goals, objectives and programs of the building or department assigned. Rather than performing a single specialized task, the daily responsibilities of secretaries change with the needs of the specific job and the supervisor. Whereas some secretaries spend their days filing or typing, others enter data at a computer terminal.
Essential Job Functions: * Receives and screens visitors, staff members, telephone calls and incoming mail, personally respond to inquiries by making decisions which in the employee’s judgment do not require the supervisor’s attention * Establishes and coordinates the efficient operation of the office * Prepares and replies to correspondence as directed * Organizes the flow of correspondence and other pertinent data, establishes and maintains a filing system that provides for the efficient operation of the department while maintaining confidentiality * Takes and transcribes dictation of various types; prepares, reproduces, and makes appropriate distribution of all correspondence, including letters, memoranda; reports, recommendations, notices, orders, requests, schedules, etc. and any other necessary informational items * Prepares the monthly annual reports and records in compliance with auditor’s regulations
The Secretary Must Demonstrate the Ability to: * Utilize excellent customer service skills * Communicate in written and oral modes with tact and diplomacy * Follow directions and carry out assignments to completion with minimum instruction while adhering to prescribed routines and practices * Work well with others, and assist the public cooperatively and courteously * Demonstrate the use of conflict resolution in the workplace * Make some independent decisions * Use Synergy competently * Use Destiny Library system competently * Knowledge of School Messenger and use of social media (website, Facebook, Twitter, etc.) * Type and file proficiently * Orient parents to SCPS schools and to resources for families to include: * ParentVue * Process for Interpreter Services * Parent Resource Center * Website navigation * Inclement weather * Community resources * Performs other duties as assigned by supervisor
