Executive Assistant
QUALIFICATIONS: * High school diploma required * Minimum experience in general or school office work as determined by the board * Knowledge of automated office equipment and excellent word processing and secretarial skills * Strong analytical, communication and human relations skills * Able to maintain confidentiality as required * Required criminal history background check and proof of U.S citizenship or legal resident alien status
REPORTS TO: Executive Director and School Business Administrator
JOB GOAL: To serve as the Executive Director and School Business Administrator secretary; supervise all administrative secretarial duties in the office and coordinate school-level and district wide administrative activities.

PERFORMANCE RESPONSIBILITIES: * Supervises and coordinates the efficient workflow of the school system relative to the responsibilities of the Executive Director and School Business Administrator. * Performs all secretarial and confidential work as assigned by the Executive Director and School Business Administrator * Supervises the activities of all other secretarial and clerical personnel assigned to the Executive Director and School Business Administrator. * Supervises and assists in the preparation of all correspondence and reports emanating from the Executive Director and School Business Administrator office * Maintains personnel records of all certified staff * Maintains a regular filing system, as well as a set of locked confidential files * Processes incoming correspondence * Places and receives telephone calls and records messages for the Executive Director and School Business Administrator * Maintains a schedule of appointment for the Executive Director and School Business Administrator and makes arrangements for conferences, meetings and interviews * Oversees the hiring of substitute teachers, receives applications; verifies their credentials and prepares substitute teacher lists for board approval * Acts as a liaison between the Executive Director and administrative staff in screening and routing inquiries and requests * Assists the Executive Director in compiling data and preparing reports required by law, administrative code and board policy * Maintains all board on track and compliance trackers * Receives and routes incoming calls and correspondence * Screens calls and inquires that involve sensitive topics * Type correspondence, notices and reports, and verifies the accuracy of the work done. * Maintains confidentiality of records and information * Arranges meetings, prepares agendas, takes clear notes and handles follow-up activities as necessary. Makes sure the administrator has any necessary back-up materials needed * Prepares minutes when assigned * Performs other related duties as may be assigned by the Executive Director and School Business Administrator
TERMS OF EMPLOYMENT
Twelve-month employee. Salary to be recommended by Executive Director and approved by board.
EVALUATION
Performance of this job will be evaluated annually in accordance with the board's policy on evaluation.
