Job Title:         Administrative Assistant

Reports to:      Executive Director of ELC

Essential Duties and Responsibilities:
Administrative Assistant to the ELC Administrative Team.

Supervises: NA
 
Job Requirements: Minimum Qualifications:
  • Assists board and administrators in serving the community
  • Serves as an ambassador for the ELC
  • Handles complex and multiple assignments with poise, efficiency, accuracy, and confidentiality
  • Commits to thoughtful and thorough service for all constituents
  • Maintains electronic communications, schedules, documents, files
  • Ability to mult-task and prioritize assignments in a fast-paced work environment
  • Effective communicator with all stakeholders
 
Essential Job Functions:
  • Administrative Support
    • Serves as Confidential Secretary to the Administrative Team and is responsible for all clerical duties associated with the administrative teams.
    • Supports Administrative Team in securing substitute staff members.
    • Maintains a schedule of appointments and makes arrangements for professional development, interviews, observations.
    • Performs special assignments and other duties as determined by the Administrative Team.
    • Writes articles, notes, letters and memos as required by the Administrative Team.
    • Advises the Administrative Team immediately of the existence of any problems deemed to warrant prompt attention, advice or intervention.
    • Supports Administration set up of meetings, professional development, ELC activities including but not limited to: space allocation, space set up, copies, food, beverages, snacks, supplies as needed.
    • Maintains electronic filing systems.
    • Assists Administrative Team in supporting staff through obtaining school bus endorsement and maintains proper files and documentation.
  • Business Office Support
    • Yearly compliance training as directed by administration.
    • Posting of required notices.
    • Supports administration in new hiring procedures.
  • General Office Support
    • Places and receives telephone calls and records messages.
    • Welcomes visitors and arranges for their comfort.
    • Maintains files in all areas relating to the ELC.
    • Coordinates and prepares for special district functions such as community forums, trainings, special meetings.
    • Sets up staff door access cards.
    • Attends school and community meetings, workshops and conferences as determined by the Executive Director.
    • Responsible for advising the Executive Director of federal and state legislative matters and legal decisions, which affect the district and location information, and maintaining files to keep abreast of such issues.
    • Keeps abreast of outstanding achievements by students and staff requiring recognition by the Executive Director.
    • Maintains effective communication with various city, county and state offices to facilitate cooperation regarding mutual concerns.
    • Promotes effective public relations through telephone and written communications with citizens.
    • Coordinates and prepares for special district functions such as community forums, trainings, special meetings.
    • Set appoitnments for ELC clinics and Administration.
