Description

A position has been declared open in the Weber School District in The District Office for a Secretary -Receptionist - Human Resources. This position is for 8 hours per day, 12 months per year AND IS ONLY OPEN TO IN-DISTRICT EMPLOYEES . Purpose Statement The job of Secretary-Human Resources was established for the purpose/s of providing administrative support to the Human Resources Director; performing a variety of specialized and confidential duties related to the employment and credentialing of District personnel; and monitoring assigned programs and/or projects.

Essential Functions • Attends and organizes meetings and workshops (e.g. catastrophic sick leave meetings (monthly), program updates, etc.) for the purpose of recording events, conveying and/or gathering information. • Coordinates schedules, meetings and activities (e.g. district committee, teacher requirements; "all employee notices, etc.) for the purpose of supporting the Director of Human Resources with administrative functions. • Maintains a wide variety of files and records (manual/computer; confidential/non-confidential) (e.g. applicant files, billings, salary schedules, employee contracts, personnel directory, policy books, bookkeeping records, etc.) for the purpose of providing documentation in accordance with administrative and legal requirements. • Maintains and orders inventory of office supplies for the purpose of ensuring the availability of items as needed. • Orients new site personnel (e.g. substitutes and staff as required) regarding appropriate school and district practices for the purpose of effectively assimilating new personnel into site operations. • Prepares a wide variety of written materials (e.g. classified ads, reports, memos, letters, etc.) for the purpose of documenting activities, providing written reference and/or conveying information. • Processes a wide variety of documents and materials (e.g. new and changing compensation information, unemployment claims, employment verification, state reports, etc.) for the purpose of disseminating information in compliance with program, district, state and/or federal requirements. • Researches a wide variety of topics (e.g. current practices, policies, etc.) for the purpose of providing information for addressing a variety of administrative requirements. • Responds to a wide variety of inquiries from internal and external parties (e.g. employees, Utah Retirement System, the Board, applicants, Insurance Opening Enrollment, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction. • Supports assigned administrative personnel for the purpose of providing assistance with administrative functions. Other Functions • Assists other personnel for the purpose of supporting them in the completion of their work activities.

Job Requirements: Minimum Qualifications Skills, Knowledge and Abilities • Must be willing to fingerprint applicants and employees. • Accuracy and attention to detail is critical in every aspect of the job. • Experience with IFAS is desired. Must be able to apply pertinent rules, codes and regulations; operating standard office equipment including pertinent software applications; planning and managing projects; and preparing and maintaining accurate records. Must have knowledge of concepts of grammar and punctuation; common office machines and software; and office methods and practices. Must be able to communicate with diverse groups; maintaining confidentiality; setting priorities; being attentive to detail; establishing and maintaining effective working relationships; and working with frequent interruptions. Experience: Job related experience with increasing levels of responsibility is desired. Education: High School diploma or equivalent.
