Description

Monona Grove School District has an opening for a 1.0 FTE Long Term Substitute Administrative Assistant II at Monona Grove High School.  This position will begin April 1, 2020 and end June 12, 2020. The hours are Monday through Friday from 7:00am to 3:30pm. This position is responsible for recording student attendance and reports to the associate principals.

Responsibilities:   
  • Provide administrative support to the principal and school.
  • Prioritize work and develop and implement office systems.  
  • Manage and complete tasks related to student enrollment, including registering; maintaining class lists, grades, and schedules; updating enrollment numbers; managing the ins/outs lists; and collecting fees.
  • Screen and refer calls, take telephone messages, make appointments and provide a wide variety of information in response to inquiries.  
  • Ensure appropriate handling of confidential information flowing into and out of the office, managing sensitive issues and communications responsibly.
  • Work with staff on ordering materials including completing purchase orders, finding quotes, selecting items, and checking in packages.
  • Run all State reports in Infinite Campus and prepare documents for the District Office.
  • Maintain the building budgets.
  • Attend meetings and training sessions related to District programs and initiatives.
  • Help with office duties such as mail distribution, bulletin boards, special events, and communication home regarding enrollment and the next school year.
  • Provide technology support with assessment and intervention documentation.
  • Gather information and publish parent newsletter on a monthly basis.
  • Contribute photos and captions to building website and District social media outlets.
  • Provide back-up Support in the health room, distributing medications as needed and providing for care of health needs.
  • Participate in First Aid/CPR trainings.
  • Attend work regularly.
 
Qualifications:
Education, Experience and Training:
  • High School diploma or equivalent required.

  • Experience working in a school setting preferred.
  • First Aid/CPR training or willingness to attend training.
 
Knowledge, Skills, and Abilities:
  • Must be motivated, flexible, and enthusiastic.
  • Must be organized and able to work with nominal direct supervision. 
  • Must enjoy detail oriented work requiring accuracy. 
  • Must have good written and verbal communication skills. 
  • Must be well organized and demonstrate initiative.
  • Must demonstrate the ability to establish and maintain exemplary relationships by using appropriate interpersonal skills. 
  • Must understand the need for teamwork, timeliness and accuracy.
  • Must be able to maintain self-control under stressful situations without exhibiting negative behaviors. 
  • Must be able to maintain confidentiality of sensitive information, and interact with others to accomplish tasks without arousing hostility
  • Must have knowledge of good grammar, spelling, punctuation and basic math abilities. 
  • Must be patient and understanding in interacting with students, parents and staff.
