TITLE:Data Entry Specialist 

QUALIFICATIONS:High School Diploma is required. A certification in Data Entry or Associate degree or higher preferred.  Three years or more experience in Data Entry or related field. Must possess excellent written, verbal and digital communication skills. 


REPORTS TO:Enrollment/Transportation Coordinator  


JOB SUMMARY:Ability to work in a high pace work environment. Review and enter Head Start/Early Head Start applications to ensure information has been completed correctly. Daily computer work using keyboard and scanner. Work with two data systems to keep children records up to date according to federal and agency timeline. Compiles and sort documents to prepare children’s files for the classrooms. Responsible for answering questions from other departments concerning data information and other clerical duties as assigned.  



  1. Adhere to agency policies and procedures 

  1. Adhere to Head Start Performance Standards and state regulations  

  1. Verify and calculate family’s income using the National Poverty Guidelines   

  1. Verify data by comparing it to the document source  

  1. Ensure eligibility documents are complete and follow the Federal Head Start Performance Standards and agency policies and procedures.   

  1. Update existing data  

  1. Retrieve data from the database as requested 

  1. Scan documents into child’s electronic file  

  1. Correctly calculate and prioritize families for enrollment selection opportunity. 

  1. Daily monitor sites to ensure vacancies are filled weekly. 

  1. Ability to complete multiple tasks and reports in a timely manner 

  1. Computer literacy and familiarity with various applications, software (ChildPlus), word processing, email, and internet 

  1. Create forms and documents for application 

  1. Working knowledge of office equipment 

  1. Good organizational and interpersonal skills 

  1. Ability to accurately file paperwork 

  1. Ability to prioritize work tasks as needed 

  1. Assemble child’s file for Head Start/Early Head Start 

  1. Assist Head Start personnel as needed 

  1. Assist in maintaining full enrollment for responsible sites 

  1. Maintain good record keeping  

  1. Advise supervisor of issues related to data 

  1. Perform other duties as assigned

Shall be assigned to 230 days of work. Salary to be established by the Board 


Performance will be evaluated in accordance with Board Policy
