Title:                High School Building Secretary


  • High school diploma or equivalent (associate degree preferred).
  • Demonstrate knowledge and experience in computer operations and Microsoft Word and Excel software usage.
  • Must have experience with the SMART Program for payroll (Time Entry) and purchase orders.
  • Evidence of effective people skills; ability to interact and communicate with students, staff, parents and community in a positive and congenial manner.
  • Demonstrate secretarial skills, including filing, maintaining accurate records, report generation, drafting correspondence and operating various business machines.
  • Ability to initiate, handle and follow through on various assignments.
  • Ability to maintain confidentiality with discretion.
  • Must have strong, positive communication and interaction skills when dealing with coworkers, students, administrators, parents and the community.
  • Must possess effective oral and writing skills.
  • Ability to perform multiple tasks.
  • Complete work with many interruptions, work independently with little direction.

  • Word processing and spreadsheet proficiency in Microsoft Office and Google Docs.
  • Experience on the SMART Software Program, MCIR for Immunizations
Job Duties
  • Perform the usual office routines and practices associated with a busy, productive and smoothly run office.
  • Provide clerical assistance to faculty and staff as needed.
  • Maintain good public relations with students, parents, teachers and the public.
  • Administrative details, schedule appointments and handle school communication.
  • Collect and account for monies in conjunction with school activities.
  • Maintain records of cash funds and petty cash funds use.
  • Enroll and register, complete enrollment information, establish student records and enter into computer.  Complete records for the release of transfer of students and request student records.
  • Compile data and submit annual report(s) and weekly data to Central Office.
  • Schedule all students into the proper classes.
  • Prepare and maintain monthly attendance reports for the staff.
  • Prepare requisitions and purchase orders for supplies and equipment as needed/approved.
  • Maintain inventory.
  • Administer basic First Aid and be able to assist in all emergency situations.
  • Maintain building accident reports.
  • Address phone/e-mail correspondence; placing/receiving calls and follow-up on voice/e-mail messages.
  • Enter staff time for payroll processing and maintain payroll reports.
  • Sort and distribute mail.
  • Be there to listen and help students.
  • Other duties as assigned by administration.

Terms of Employment:      
  • 11 month; full-time, 40 hours a week; $13.45/per hr.(probationary rate); medical benefits. 
  • Evaluation:  Performance for this position will be evaluated at least annually.
Deadline:     Until the position is filled.

Note:  Board of Education policy requires that each successful applicant be free of past serious legal infractions as determined through a criminal records check with local, state, and federal law enforcement agencies.
